# Privacy Policy

Household Real Estate LLC (“Household Real Estate,” “HRE,” “we,” “us,” or “our”) is a licensed real estate brokerage and provider of brokerage compliance and coordination services. This Privacy Policy describes how we collect, use, share, and protect personal information when you use:

– our website at householdrealestate.com (the “Site”);
– our brokerage, designated-broker, and compliance services (the “Brokerage Services”); and
– our compliance and brokerage-operations platform, including the application available at [app.nationaldesignatedbroker.com] (the “Platform”).

Together, these are the “Services.” By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.

**A note for users of our client brokerages.** Portions of the Platform process information on behalf of independent real estate firms and service providers that are our clients (each a “Client Firm”). Where a Client Firm determines how and why information is processed — for example, records about its own agents, staff, and transactions — that Client Firm is responsible for the information and we process it on the firm’s behalf and instructions. Requests concerning that information should be directed to the Client Firm; we will assist the firm in responding.

## 1. Information We Collect

**Information you provide to us:**

– **Account and profile information** — name, email address, phone number, password, professional role, license numbers and license information, firm affiliation, and profile details.
– **Transaction and brokerage records** — information about real estate transactions and brokerage operations handled through the Services, including property details, transaction dates and terms, party and participant information (such as buyers, sellers, lenders, title and escrow companies), documents, checklists, tasks, and communications.
– **Documents and signatures** — documents you upload or generate through the Services, and electronic-signature records (including signer names, email addresses, signature events, and audit trails).
– **Financial and billing information** — billing contacts, invoicing details, fee and commission information, and payment records. Payment card processing, where applicable, is handled by third-party payment processors; we do not store full card numbers.
– **Communications** — messages, feedback, support requests, and correspondence sent through or to the Services, including email correspondence processed by the Platform.

**Information collected automatically:**

– **Usage and device information** — log data, IP address, browser and device type, pages viewed, actions taken in the Platform, and timestamps. The Platform maintains activity and audit logs of actions taken in user accounts; these logs are a core compliance feature of the Services.
– **Cookies and similar technologies** — we use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Services are used. You can control cookies through your browser settings; some features may not function without them.

**Information from third parties:**

– **Third-party services you connect.** The Platform allows you to connect third-party accounts — for example, transaction-management services (such as dotloop), electronic-signature services, accounting software (such as QuickBooks), and email services. We access information from a connected service **only with your authorization**, through that service’s official interface, and only to provide the Services. You may revoke a connection at any time, and we will stop accessing new information from it. Information already imported remains in the Services as part of the applicable records.
– **Transaction participants and Client Firms.** We may receive information about you from others involved in a transaction or from your firm — for example, when an agent adds you as a party to a transaction, or a firm enrolls you as a user.
– **Public and professional sources** — such as state licensing records used to verify professional license status.

## 2. How We Use Information

We use personal information to:

– provide, operate, and maintain the Services, including transaction coordination, document management, electronic signatures, task management, and billing;
– perform **brokerage supervision and regulatory compliance functions**, including transaction review, escrow and trust-account oversight, license monitoring, audit preparation, and record-keeping required of licensed real estate brokerages;
– generate, send, and track communications you initiate or that the Services send on your or your firm’s behalf;
– calculate and process billing, including usage-based charges;
– secure the Services, including authentication, fraud prevention, audit logging, and enforcing access controls;
– respond to support requests and feedback, and improve the Services;
– comply with law, regulation, and lawful requests from courts, regulators (including state real estate commissions), and law enforcement; and
– with your consent or at your direction, for other purposes described at the time of collection.

**Automated document processing.** Some Platform features use artificial-intelligence tools operated by our service providers to process documents and data — for example, extracting figures from financial statements or drafting text for human review. Output from these features is reviewed and decided upon by authorized human users; these tools do not make final compliance decisions. Our service providers process this data on our behalf under contractual restrictions and are not permitted to use it for their own purposes.

## 3. How We Share Information

We do **not** sell personal information, and we do not share personal information for cross-context behavioral advertising. We share information only as follows:

– **Within your transaction or firm.** Information is visible to other authorized participants as the Services are designed to work — for example, a firm’s designated broker and compliance staff can review that firm’s transaction records; parties to a transaction see the information appropriate to their role.
– **Service providers.** We use vendors that process information on our behalf — including cloud hosting and database providers, electronic-signature providers, email delivery providers, payment and accounting providers, and AI processing providers — under contracts limiting their use of the information to providing services to us.
– **Third-party services you connect.** When you connect or direct us to use a third-party service, we share the information necessary to perform the requested function (for example, sending a document to an e-signature provider for signing).
– **Legal and regulatory.** We may disclose information to comply with law, respond to lawful requests, cooperate with regulators and state real estate commissions (including in audits and examinations), enforce our agreements, or protect the rights, safety, or property of HRE, our users, or others.
– **Business transfers.** If HRE is involved in a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Policy or successor terms with equivalent protections.

## 4. Data Retention

We retain personal information for as long as needed to provide the Services and as required by law. **Real estate transaction, escrow, supervision, and compliance records are subject to statutory retention periods under the laws of the states in which we and our Client Firms operate, and may be retained for the full statutory period even after an account is closed or a connection is revoked.** Executed agreements, signature records, audit logs, and sealed compliance packages are retained as business and legal records. Where information is no longer required, we delete or de-identify it.

## 5. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls and role-based permissions, audit logging, and database-level security policies. Electronic-signature records include tamper-evident audit trails, and finalized records are protected against alteration. No system is perfectly secure; we cannot guarantee absolute security, and you are responsible for safeguarding your account credentials.

## 6. Your Choices and Rights

– **Access, correction, and deletion.** You may access and update your profile information in the Services, and may request access to, correction of, or deletion of your personal information by contacting us at the address below. We will honor requests to the extent required by applicable law; note that deletion requests are subject to the retention obligations described in Section 4, and information processed on behalf of a Client Firm may require the firm’s direction.
– **Third-party connections.** You may disconnect a connected third-party service at any time from your profile or by contacting us; you may also revoke access from within the third-party service.
– **Marketing.** Where we send marketing or promotional messages, you may opt out using the link in the message or by contacting us. We will still send transactional and service messages (for example, signature requests, task notifications, and billing notices).
– **State privacy rights.** Depending on where you live (including California, Oregon, and Nevada), you may have rights under state privacy law, such as the right to know, access, correct, or delete personal information, and the right to opt out of sales or sharing of personal information. We do not sell personal information. To exercise applicable rights, contact us using the information below; we will verify your request and respond as required by law. We will not discriminate against you for exercising privacy rights. Nevada residents may submit opt-out requests regarding the sale of covered information to the contact below.

## 7. Children

The Services are intended for business and professional use and for adults engaged in real estate transactions. The Services are not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided personal information through the Services, contact us and we will delete it.

## 8. Third-Party Sites and Services

The Services may link to or interoperate with websites and services we do not operate — including connected services such as dotloop, e-signature providers, and accounting software. Their privacy practices are governed by their own policies, and we encourage you to review them. dotloop is a registered trademark of DotLoop, LLC; other marks are the property of their respective owners. HRE is independent of and not endorsed by these providers.

## 9. Changes to This Policy

We may update this Policy from time to time. If we make material changes, we will update the “Last updated” date and, where appropriate, provide additional notice through the Services. Your continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
